Online Admissions Specialist

PRIMARY PURPOSE/SCOPE

The Online Admissions Specialist plays a pivotal role in supporting and enhancing the university’s admissions operations. This part-time position focuses on evaluating transfer credits, processing application materials, and collaborating with teams to develop and refine online workflows. The specialist will ensure accuracy, compliance, and efficiency while contributing to process improvements that enhance the admissions experience for students.

ESSENTIAL DUTIES, RESPONSIBILITIES, AND FUNCTIONS

The essential duties, responsibilities, and functions of this position include, but are not limited to, the following:

  • Review and process incoming transcripts and other application materials to evaluate transfer credits in accordance with institutional policies.
  • Assist with data entry and maintain accuracy in the university’s student information system as needed.
  • Collaborate with admissions and registrar teams to identify inefficiencies and recommend process improvements.
  • Support the development and implementation of online workflows to streamline application and transfer credit processes.
  • Communicate with applicants and staff regarding incomplete or missing documents and ensure timely follow-up.
  • Provide training and documentation for new workflows and process changes to relevant stakeholders.
  • Maintain confidentiality and uphold data security standards in compliance with institutional and accreditation requirements.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, ABILITIES, AND EDUCATION/EXPERIENCE

  • A bachelor’s degree is preferred.
  • Experience in higher education admissions, records management, or related fields is strongly desired.
  • Proficiency with student information systems (e.g., Jenzabar) and workflow tools.
  • Strong analytical, organizational, and communication skills.

 This position is subject to at least an annual evaluation based upon the job duties, responsibilities, and functions as set forth above.
